VENUE CHECKLIST
You should have received a Venue Checklist from your Account Executive. This will be read through by your Account Executive and your Production Manager. It helps outline a lot of the common restrictions/questions we run into with venues. Here's the link to that checklist for your reference - Venue Checklist. Your event’s Production Manager will be working very closely with you to make sure that your space is respected and showcased well the day of the event. Use this checklist to make sure we know what you require/expect (hanging restrictions, rules regarding candles or confetti, etc).
SUGGESTED VENDORS
If you have vendors in mind that you would love to see involved, please feel free to reach out to them and tell them to apply. We even have an email already drafted for your use; just ask your Production Manager for it if you're interested.
LOAD-IN
Be sure to communicate specifics regarding load in to your Production Manager (which entrance do you want vendors to use, is there a service elevator, what is the loading dock situation, etc). Often, our venues like to create their own load in schedule, especially if the loading dock is small or is shared with other facilities/tenants. This isn't something that we require, but if your space has specific load in requirements, please be sure to communicate those with your Production Manager.
INFO FOR VENDORS AND GUESTS
Location information and parking maps are of great help to our team! We can get these to our vendors and will communicate this information to our guests as well. Help us make getting to you as easy as possible!
ALCOHOL POLICY
Rules regarding the service of alcohol differ state to state and venue to venue, so please help us follow the rules! Does our bar vendor need a specific license to serve? Does any product need to be ordered through you? Do you need a zeroed out invoice? So many different rules that we don't want to break!!
GOLDEN TICKETS
We love when venues work hard to give away their Golden Tickets! This is the best way for you to get potential couples in to feel what a wedding in your space would be like. You can invite potential couples who may have looked at your space but haven’t signed with you, or couples that have signed with you that you want to give an enhanced experience to. There is no better way to market your space than to actually have couples in it! Click here to download a Golden Ticket that you can email to your current and potential clients.
This is a really great marketing opportunity so we hope that you'll take full advantage of that. Be involved, be present at the event and during set up and be flexible and helpful with the vendors. They will sing your praises if they have a good experience with your space and their recommendations can be a great source of leads!
LIGHTING
Whether you are a venue with specialty lighting options or if you are a specialty lighting company that is coming on board to show off what you do, you have a great opportunity to show off and to help the other vendors show off. We ask that the lighting for the ceremony and reception tables be as similar to natural light as possible (ie. not too harsh, no strange colors, etc). The dance floor and the Tunnel of Love are great opportunities to show off unique lighting options like cafe lights, chandeliers, gobos, etc. Your production manager can walk you through the floor plan and the event's Inspiration Board so that you can decide on the best options.
